Position Overview

We are seeking a Senior Accounting Manager / Assistant Controller to take complete ownership of our ecommerce (Shopify) accounting while also supporting Frank with corporate accounting for the main company.

On the ecommerce side, this person owns the monthly Profit & Loss statements, oversees the automated reconciliation of all Shopify revenue streams, reviews and resolves exceptions, audits third-party vendor invoices, and identifies opportunities to reduce costs and improve profitability.

Once website accounting is automated, this person’s time is expected to be split approximately 40% ecommerce and 60% corporate accounting, depending on actual workload.

This is a finance-first role. The primary focus is ownership of the ecommerce financials, review and oversight of automated processes (rather than manual transaction processing), and helping build a scalable accounting operation that supports our websites as they grow.

Core Responsibilities

1) Own the Ecommerce Financials (Primary Responsibility)

• Own accurate monthly ecommerce P&L reporting

• Oversee automated reconciliation of Shopify payouts (Shopify Payments, PayPal, Shop Pay, BNPL, etc.) and review and resolve exceptions

• Ensure proper categorization of revenue, refunds, chargebacks, discounts, and fees

• Own the ecommerce month-end close process

• Track gross margin, contribution margin, and net profit trends

• Identify and explain margin erosion and profit leaks

• Partner with leadership to identify manual processes and improve and automate ecommerce accounting in QuickBooks and Shopify-connected tools

2) Vendor Billing Reconciliation & Charge Validation

• Reconcile third-party vendor invoices (Redo, shipping providers, SaaS tools) against internal data

• Validate pricing changes, rate increases, and new charge types

• Identify billing discrepancies, unexplained fees, and transaction-level outliers

• Analyze brand-specific cost spikes and anomalies

• Build structured documentation to support vendor disputes or refund requests

• Develop internal controls to catch unexpected billing changes immediately

3) Expense Optimization & Cost Visibility

• Audit Shopify platform and payment processing fees

• Review ecommerce apps, subscriptions, agencies, and service providers

• Identify redundant or underused tools

• Provide monthly cost breakdowns and trend analysis

• Deliver decision-ready reports for leadership review

4) Corporate Accounting Support

• Support CFO with corporate accounting for the main company

5) Financial Reporting Support for Accountants & Sales Tax Reporting

• Maintain organized monthly reporting packages for external accountants

• Ensure financial statements, reconciliations, and supporting schedules are complete and accurate

• Support the accountant with monthly/quarterly close needs, ad hoc reporting, and documentation

• Maintain sales tax reporting inputs and summaries for filing (sales by state, taxable vs non-taxable sales, marketplace facilitator treatment)

• File monthly sales tax for the website

Required Experience

• 5+ Years with Senior Accounting Manager / Assistant Controller-level experience

• Retail or apparel accounting experience

• QuickBooks proficiency (required); NetSuite experience a plus

• Shopify financial reconciliation experience (required)

• Experience with Shopify-to-accounting automation tools

• Corporate month-end close and financial reporting experience

• Sales tax reporting experience

• Advanced Excel / Google Sheets skills

• Experience auditing vendor invoices and SaaS billing

• Comfortable supporting external accountants with clean reporting

• Nice to have: GA4 ecommerce tracking experience

Ideal Candidate

• Strong retail or ecommerce accounting background

• Detail-oriented and analytically rigorous

• Able to own the ecommerce accounting function end to end while taking on additional corporate accounting work

• Able to translate data into clear business decisions

• Proactive in identifying savings opportunities, automation opportunities, and performance gaps

Questions you can expect in the interview

Drawn from this posting. None of them repeat on another job.

1.The posting calls this a finance-first role that owns ecommerce accounting on Shopify. What do most ecommerce teams get wrong about reconciling Shopify revenue?
2.You would oversee automated reconciliation of all Shopify revenue streams and resolve the exceptions. Walk us through an exception you had to chase down, and where the break turned out to be.
3.The split is expected to settle around 40% ecommerce and 60% corporate accounting once the website side is automated. What has to be true before you would call it automated?
4.You would audit third-party vendor invoices and find ways to reduce cost. Tell us about a cost you found that nobody had questioned.
5.BBX Co. is a family-owned apparel business with three brands and decades of wholesale relationships. How do you keep DTC and wholesale reporting clean when the same product sells through both?
